Position Overview:
  • This role will provide administrative, client service, scheduling, and operational support to licensed insurance professionals and office staff.
  • The ideal candidate is organized, professional, comfortable communicating with clients and insurance carriers, and able to manage multiple tasks in a fast-paced, deadline-driven environment.

Responsibilities:
  • Client and Office Support:
    • Greet clients and visitors in a warm, professional manner when they arrive at the office.
    • Answer incoming calls and route inquiries to the appropriate team member.
    • Schedule, confirm, and manage client appointments for Medicare and Individual health insurance consultations.
    • Follow up with clients regarding appointment reminders, missing information, enrollment status, or required documentation.
    • Provide courteous and patient support to clients, including Medicare-eligible individuals who may need additional assistance during Open Enrollment.
  • Administrative and Data Entry Support:
    • Accurately enter client and application information into internal systems, carrier portals, CRM platforms, spreadsheets, or other business tools.
    • Review forms, applications, and client records for completeness and accuracy.
    • Upload, scan, copy, file, and organize client documents as needed.
    • Maintain accurate records of client interactions, pending items, and follow-up activities.
    • Handle confidential client information with discretion and in accordance with applicable privacy and company requirements.
  • Carrier and Enrollment Follow-Up:
    • Contact insurance carriers to check on application status, enrollment issues, missing documentation, billing questions, or policy updates.
    • Document carrier communications and update internal systems promptly.
    • Escalate urgent matters, incomplete information, or unresolved issues to licensed agents, managers, or designated team members.
    • Assist with tracking applications, enrollment forms, pending items, and key deadlines.
  • Open Enrollment Support:
    • Support increased client volume during Medicare Annual Enrollment and Individual Health Insurance Open Enrollment.
    • Assist with preparing client meeting materials, enrollment packets, plan documents, and follow-up correspondence.
    • Help maintain an organized office workflow during high-traffic periods.
    • Provide general administrative support to ensure deadlines are met and client service standards are maintained.
 
Required Qualifications:
  • Prior administrative, office support, customer service, healthcare, insurance, or financial services experience preferred.
  • Experience supporting health insurance, Medicare, benefits administration, or open enrollment activities is a plus.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Excellent verbal and written communication skills.
  • Professional phone etiquette and a customer-focused approach.
  • Ability to work effectively with clients of all ages, including Medicare-eligible individuals.
  • Strong organizational skills and ability to prioritize multiple tasks in a busy environment.
  • Proficiency with computers, email, Microsoft Office, spreadsheets, CRM systems, and online portals.
  • Ability to handle confidential and sensitive information appropriately.
  • Dependable, punctual, and able to work well in a team-oriented environment.

  • Willing to learn insurance terminology, carrier processes, and Open Enrollment workflows.

  • Flexible and adaptable during peak enrollment periods.
