Project Overview:
- Detail-oriented and organized Governance Committee Administrator to join our team on a contingent basis.
- This role is critical in ensuring the smooth operation and administration of several key internal governance committees within our organization.
- The successful consultant will be responsible for developing committee materials, distributing them in a timely manner, accurately recording meeting minutes, documenting decisions, maintaining associated trackers, and managing SharePoint sites with all relevant materials.
Pay Rate: $40.00-$45.00/Hour
Responsibilities:
- Committee Coordination: Organize and coordinate the scheduling of committee meetings, ensuring all logistical aspects are managed efficiently.
- Materials Preparation: Develop and compile comprehensive committee materials, including agendas, reports, presentations, and other relevant documents.
- Timely Distribution: Distribute committee materials to members well in advance of scheduled meetings, ensuring all participants are adequately prepared.
- Meeting Minutes: Accurately and professionally record detailed meeting minutes, capturing key discussions, decisions, and action items.
- Documentation: Document all committee decisions and maintain accurate records, ensuring compliance with organizational policies and procedures.
- Tracking and Reporting: Maintain and update trackers for all committee activities, including follow-ups on action items and deadlines.
- SharePoint Management: Manage and update SharePoint sites dedicated to the committees, ensuring all materials and records are easily accessible and up to date.
- Communication: Facilitate clear and effective communication between committee members, ensuring all stakeholders are informed and aligned.
- Compliance: Ensure all committee activities adhere to internal governance policies and standards.
- Continuous Improvement: Identify and implement process improvements to enhance the efficiency and effectiveness of committee administration.
Required Skills:
- Proven experience in administrative roles, preferably within governance or committee management.
- Strong organizational skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and SharePoint.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong interpersonal skills and the ability to work collaboratively with diverse teams.
- Familiarity with governance frameworks and best practices is a plus.
